URO Author's Kit - Travel Information
Travel assistance as defined below will be available to one URO student from each program presenting a poster at TECHCON 2010. A second student from each program is invited to present a poster provided airfare can be secured from another source and hotel room can be shared; all other travel assistance will be provided for both students. All travel assistance is contingent upon receipt of the abstract by June 15, 2010 and the following guidelines:
1. Only the presenter of the poster is eligible for travel assistance regardless of the number of co-authors.
2. Please plan to arrive on Sunday afternoon, September 12, in time for poster setup (beginning at 5:00 p.m.) and depart on Wednesday morning, September 15, so that you are able to attend all Conference events.
Travel assistance covers the following expenses:
- Airline reservations through SRC's travel agent for one student from each URO program; this student will be identified by the Program Manager and further information provided upon receipt of your abstract.
- Ground transportation between the Austin Airport and the Renaissance Hotel for the following dates: September 12 through September 15, 2010, details to be provided upon receipt of your abstract (for 2 students from each URO program)
- Conference registration fee (for two students from each URO program)
- Dinner Sunday and Tuesday evenings, the Reception and Conference Banquet on Monday evening, 2 breakfasts, and 2 lunches (for 2 students from each URO program)
- One hotel room and applicable taxes - 3 nights maximum, restricted to the dates of September 12 -14, 2010 (hotel room can be shared by 2 students from each URO program).
The travel assistance does not cover the following expenses:
- Airfare for the second student from each URO program
- More than 1 hotel room
- Other ground transportation
- Personal expenses
- Hotel incidental charges (including telephone charges and in-room wireless)
- Meals and beverages except as specified in #3 above
- Any other miscellaneous expenses
Hotel Reservations and Ground Transportation
All hotel reservations will be made by SRC following receipt of your abstract. A confirmation number and ground transportation information will be forwarded to you via e-mail by September 1st. Failure to submit your abstract by the stated deadline may result in cancellation of your hotel room and deletion of your abstract from the Conference program.
If your travel plans change for any reason, please let us know in advance via e-mail so that we do not pay for unused hotel rooms.
