Author's Kit: Poster/Demonstration Instructions

 

  • All paper presenters are expected to present a poster.  Failure to present a poster will adversely affect the judging of your presentation.
  • Posters are required to be submitted to SRC using the online submission form by September 1, 2016. Submitting your poster DOES NOT take the place of you bringing a printed poster for TechFair.
  • Posters and demonstrations will be set up in TechFair, which is located in the Rio Grande Exhibit Hall on the lower level.  Set-up is from 2:00 – 6:00 p.m. on Sunday, September 11, 2016. Dinner for students will be provided during poster set-up.  Please note the start time when making your travel arrangements.
  • Please stay close to your poster to discuss your research during the TechFair session immediately following your paper presentation.  The TechFair schedule is as follows:

  • Posters should remain up throughout TECHCON to be available for judging and discussion. Please remove posters immediately following TechFair Session #4.  Materials not removed by 7:00 p.m. will be discarded.
  • Each booth contains space for three poster displays (one on the back wall and one on each of the side walls).  Space assignment number corresponds to your paper number (e.g., 1.1, 1.2, etc.).
  • Posters will be displayed on 4’ x 8’ tack boards (horizontal orientation; see diagram). Poster materials may be attached directly to the tack boards using Velcro or push pens which will be provided. 
  • A title board will be provided by for each poster display; title boards are 8.5 x 14, portrait orientation. Title boards will be placed in the upper corner of the board nearest the aisle and must be left in that position so that attendees can locate posters easily.  View sample title board.
  • Each title board will include a short bio of the presenter (not your resume), a photo of the presenter, and QR code.  You must provide the following to SRC by July 12th for inclusion on your title board
    • Bio (250 words max.) – include things like your technical interest, career goals and a one-sentence statement about the important of this opportunity to you; goals for the future are also a good idea.
    • Color photo (head shot) in .JPG format
    • URL for linked in page or person webpage. We will create a QR code for your title board.
  • Each poster should include one 8 ½ x 11 slide (or equivalent) on technology/ information transfer. A sample slide is included in the file Sample Slides.
  • If you need accommodations for a demonstration or a power outlet for a laptop for use during you’re the poster portion of your presentation at TechFair, please e-mail you request along with your paper/poster number to  techcon@src.org to ensure appropriate arrangements.
  • Neither SRC nor the Renaissance assumes any liability for equipment left in TechFair. Your poster must be displayed throughout TECHCON.  Hardware and other equipment (including power strip/serge protector) must be provided by the presenter. Equipment may be shipped to the hotel.  AV equipment may be rented from the Renaissance at the presenter’s expense.
  • Stapler, scissors, rulers, markers, push pens, and Velcro will be available for your use. No colored paper or other supplies will be provided.
  • Judging will include both the paper and poster presentations.  Awards will be presented at dinner on Tuesday evening. Judging Criteria is a separate file in the Author’s Kit.  You may be interested in some comments from previous judges:
    • Posters should speak for themselves.
    • Numbered segments make easier reading.  (Does it go across or down?)
    • Students should be present and offer a brief overview on more than one level.
    • Emphasize presentation – demonstrate a clear purpose and result or conclusion.
    • Include technology/information transfer achieved and/or planned (a template slide is attached)
    • Less text, more diagrams (pie charts, bulleted text)
    • Color and readable fonts make more interesting presentations.
    • Use the tack board to its full advantage and present your poster with a horizontal orientation and make it fill as much as the available space as possible
